Sender health

Kata scores every domain and mailbox from 0 to 100 over the last 30 days, and pauses them when bounces rise.

The scores

ScoreMade of
Domain40% bounces, 25% complaints and unsubscribes, 20% authentication (DNS verified), 15% mailboxes paused.
Mailbox50% its domain's score, 30% recipient behavior (reply rate), 10% the address itself, 10% the provider. With inbox placement known: 45% domain, 25% recipients, 10% address, 5% provider, 15% placement.

Inbox placement comes from the warmup emails in Instantly: every hour Kata reads how many of the last 7 days landed in the inbox and how many in spam. It counts from 10 landed emails. The health ring shows it on hover, and health and list_mailboxes return it.

0% bounces scores 100; 5% or more scores 0. 0% complaints scores 100; 1% or more scores 0. Under 20 sends the score is provisional and starts from careful values. A paused mailbox or domain scores 30 at most; a mailbox paused before it ever sent is just idle.

Auto-pause on bounces

  • Kata counts the hard bounces of each mailbox on its last 200 emails. Soft bounces do not count. Under 3 hard bounces, nothing happens: one bad address says nothing about the mailbox.
  • Above 3%, the mailbox slows down: its daily cap is halved (never under 5 a day), at most once a day. The note says why, for example slowed to 5 a day: bounces 3/60.
  • Above 10%, over 50 sent emails or more, the mailbox pauses itself. The note says why, for example bounces 6/50.
  • A mailbox that sends more than 10% of its warmup emails to spam (20 or more landed, last 7 days) pauses itself. The note says, for example, warmup emails in spam: 4/30 (13%, 7 d).
  • When two mailboxes of the same domain are paused, the whole domain pauses.

Kata never turns them back on by itself. Resume with set_domain or set_mailbox once you know why.

What a bounce does

Kata reads the bounce notice and sorts it:

KindWhenEffect
HardSMTP status 5.x.x (user unknown, address not found, domain gone…), or a clear permanent phrase. The lead becomes bounced, goes on the suppression list, and its sequences stop.
SoftStatus 4.x.x or 5.2.2, mailbox full, server busy, "temporarily".Nothing is suppressed. The same email is tried again 24 hours later, from the same mailbox and thread. The 3rd soft bounce of a lead counts as hard.
UnknownNo status and no clear phrase.Soft the first time, hard after that.

The type, the SMTP code and the reason show on the lead's timeline and in the campaign's results. campaign_report gives hard and soft counts and the top reasons. Spam complaints count as unsubscribes.
